Who Sends These Messages

Text messages are sent by Valian Systems LLC on behalf of dental and medical practices that use the Valian platform. Valian provides AI-powered phone answering and appointment scheduling services for healthcare practices.

How We Collect Your Consent

You may provide consent to receive text messages from Valian in any of the following ways:

  • 1.Phone call — When you call a practice that uses Valian, our AI receptionist may ask for your phone number and whether you would like to receive appointment confirmations and reminders via text. Your verbal "yes" constitutes consent.
  • 2.Digital intake form — When completing a patient intake form online, you may check a box that reads: "I agree to receive appointment reminders, confirmations, and follow-up messages via text from [Practice Name]. Message and data rates may apply. Reply STOP to opt out."
  • 3.In-office sign-up — When visiting the practice, you may provide your phone number on a paper or digital form that includes SMS consent language.
  • 4.Website demo request — When requesting a demo on our website and providing your phone number, you consent to receive scheduling confirmations and follow-up messages related to your demo.

In all cases, consent is explicit and separate from any other agreement. You are never required to provide SMS consent as a condition of receiving care or purchasing services.

What Messages You Will Receive

After providing consent, you may receive the following types of text messages:

  • Appointment confirmations — A text confirming your booked appointment with date, time, and provider.
  • Appointment reminders — Reminders sent 3 days, 1 day, and 2 hours before your appointment.
  • Missed call follow-ups — If you call the practice and your call is missed, you will receive a text within 60 seconds offering to help you book an appointment.
  • Rescheduling notifications — If your appointment is rescheduled or canceled, you will be notified via text.

Message frequency: Varies based on your appointment activity, up to 10 messages per month. You will never receive marketing or promotional messages without separate consent.

Opt-In Data Policy

Your phone number and SMS consent information will never be shared with or sold to third parties for marketing or advertising purposes.

We share your phone number only with the specific healthcare practice you are communicating with and with our SMS delivery provider (Twilio) solely for the purpose of delivering the messages described above.

How to Opt Out

You can stop receiving text messages at any time:

  • Reply STOP to any text message from us. You will receive a final confirmation and no further messages will be sent.
  • To resume messages after opting out, reply START.
  • For help, reply HELP or email support@valiansystems.com.

Message Rates & Carriers

Standard message and data rates may apply depending on your mobile carrier and plan. Valian Systems LLC is not responsible for any charges from your mobile carrier. Carriers are not liable for delayed or undelivered messages. Compatible with all major US carriers including AT&T, T-Mobile, Verizon, and others.

Consent Is Not Required for Service

Consent to receive text messages is not a condition of purchasing any goods or services, booking an appointment, or receiving care. You may use all Valian services and visit your healthcare provider without opting in to text messages.
