Patient Text Message (SMS) Consent Policy

Valian Systems LLC is a healthcare technology platform. Dental and medical practices use Valian to send transactional text messages to their patients. This page explains what messages are sent, how patient consent is collected, and how patients can opt out at any time.

Who Sends These Messages

Text messages are sent by Valian Systems LLC on behalf of dental and medical practices that use the Valian platform. Each practice has a dedicated phone number. Messages always identify the practice by name (e.g., "Bright Smile Dental: Your appointment is confirmed...").

How Patient Consent Is Collected

Before receiving any text messages, patients must provide explicit, separate consent. Practices collect consent using the following standardized process:

This checkbox is not pre-checked. Patient must actively check it to consent.

This is the standardized consent language used by all practices on the Valian platform. It appears on digital intake forms, paper intake forms, and in-office check-in tablets.

This consent form is presented to patients during the intake process — either digitally (online intake form or in-office tablet) or on paper at the front desk. In all cases:

  • The SMS consent checkbox is separate from other agreements and forms
  • The checkbox is not pre-checked — the patient must actively opt in
  • Consent is not required to receive care, book an appointment, or use any services
  • The consent language includes the practice name, message types, frequency, STOP/HELP instructions, and links to Privacy Policy and Terms of Service

What Messages Patients Receive

After providing consent, patients may receive the following types of transactional text messages from their practice:

  • Appointment confirmations — A text confirming the booked appointment with date, time, and provider name.
  • Appointment reminders — Reminders sent 3 days, 1 day, and 2 hours before the appointment.
  • Missed call follow-ups — If the patient calls the practice and the call is missed, a text is sent offering to help schedule an appointment.
  • Rescheduling and cancellation notifications — If an appointment is rescheduled or canceled, the patient is notified via text.

Message frequency: Varies based on appointment activity, up to 10 messages per month per patient. All messages are transactional. No marketing or promotional messages are sent.

Opt-In Data Policy

Patient phone numbers and SMS consent information will never be shared with or sold to third parties for marketing or advertising purposes.

Phone numbers are shared only with the specific healthcare practice the patient is receiving care from and with our SMS delivery provider (Twilio) solely for the purpose of delivering the messages described above.

How to Opt Out

Patients can stop receiving text messages at any time:

  • Reply STOP to any text message. A final confirmation will be sent and no further messages will follow.
  • To resume messages after opting out, reply START or YES.
  • For help, reply HELP or contact the practice directly, or email support@valiansystems.com.

Message Rates & Carriers

Standard message and data rates may apply depending on the patient's mobile carrier and plan. Valian Systems LLC is not responsible for any charges from mobile carriers. Carriers are not liable for delayed or undelivered messages. Compatible with all major US carriers including AT&T, T-Mobile, Verizon, and others.

Consent Is Not Required for Care

Consent to receive text messages is not a condition of booking an appointment, receiving care, or purchasing any goods or services. Patients may use all practice services without opting in to text messages.
